Specific Responsibilities Would Include

Support Country Director to manage routine office administration, operations and ensure compliance of policies, and follow corporate HR direction to independently execute the HR operations including recruitment, employee engagement, employee benefit programs in Vietnam and Cambodia.

 

Office administration (Vietnam)

  • Ensure smooth office operations, including health & safety, hygiene, telecommunication services (sim card plans, fixed lines and IDD service) and facilities maintenance.
  • Handle central procurement including office supplies, equipment and services.
  • Liaise and coordinate with external vendors and service providers in relation to any office and finance matters.
  • Liaise with finance team for bill payment and reimbursement processes.
  • Coordinate with building management office such as Fire Drill and cleaning service etc.
  • Back up receptionist duties
  • Perform any ad hoc tasks as assigned

 

Assistance to Country Director

  • Gather information and complete regular data entry, analysis/statistic and reports
  • Support in creating, updating, and maintaining office and business SOP
  • Distribute internal and supplier communications, letters, and notices.
  • Coordinate regular operational workshops, staff meetings, and training sessions.
  • Schedule meetings and accurately record minutes if required.
  • Execute additional tasks and projects delegated by the Country Director.

 

HR Function

  • Maintain the HR policies and procedures, monitor their enforcement to ensure compliance with the related legislation and statutory requirements locally.
  • Execute HR operations and new initiatives based on corporate guidelines.
  • Manage end-to-end recruitment processes including sourcing, interviewing, and negotiating job offers, and facilitate onboarding for new employees.
  • Coordinate training programs as directed by regional HR.
  • Coordinate in the talent management process (Goal setting and performance reviews).
  • Handle employee relations and provide counselling across all levels, fostering a positive environment during periods of change.
  • Embrace and adapt to changes in a positive manner.
  • Fulfil assigned ad hoc tasks as required.

Our Best Fit Candidate Would Have

  • Tertiary education
  • At least 6 years of experience in HR & Administration in multinational organizations
  • Proficient in MS Word, Excel, and PowerPoint
  • Independent, self-motivated and a good team player
  • Strong problem solving and analytical skills, detailed minded and able to work under pressure
  • Knowledge of employee relations, HR/legal/regulatory issues and applicable labour laws
  • Good interpersonal skills and can communicate effectively with all levels of employees
  • Multi-tasking and time-management skills, with the ability to prioritize tasks
