Specific Responsibilities Would Include

Support Country Director to manage routine office administration and operations in ISC Region, ensure compliance of policies and processes, as well as manage data analytics.

 

Office administration & support (ISC)

  • Lead and supervise the office administration team to ensure smooth office operations of all ISC offices.
  • Manage relationships with external vendors and service providers in relation to any office and finance matters.
  • Resolve issues with internal finance team for bill payment and reimbursement processes.
  • Support local country’s compliance requirements.
  • Support Country Director and HR to organize staff activities, such as Centric Care Program.
  • Support ISC Recruitment Operations: Manage background screening, interview arrangements, reference checks, and other recruitment activities.
  • Manage ISC Employee Lifecycle Operations: Oversee processes from pre-boarding to offboarding, including HR correspondence, tax and social security setup, benefit enrolment and termination, leave record maintenance, and exit procedures.
  • Support Talent Development and Engagement Initiatives: Support programs such as the Anniversary Program, training, volunteer activities, and staff activities.
  • Work closely with IT and Order Management Team leaders, to administer their local team members.
  • Perform any ad hoc tasks as assigned as by the Country Director.

Assistance to Country Director (Business Operations)

  • Gather information and complete regular data entry, reports for business analytics.
  • Support in creating, updating, and maintaining office and business SOP
  • Distribute internal and supplier communications, letters, and notices.
  • Coordinate regular operational workshops, staff meetings, and training sessions.
  • Schedule meetings and accurately record minutes if required.
  • Have a pulse on Global market intelligence and help Country Director in formulation of reports, presentations etc.
  • Execute additional tasks and projects delegated by the Country Director.

Our Best Fit Candidate Would Have

Additional Requirements

  • Bachelor's degree in Business Administration, Management, or a related field
  • At least 6 years of experience in Operations and Administration within multinational organizations, with team management experience for a small team
  • Strong project management skills and outstanding problem-solving and analytical abilities, detail-oriented, and able to work under pressure
  • Independent, self-motivated, and a strong team player with exceptional interpersonal skills to communicate effectively at all levels of the organization
  • Knowledge of employee relations, legal and regulatory issues, and applicable labor laws is an advantage
  • Exceptional multi-tasking and time management skills, with the ability to prioritize tasks effectively
  • Proficient in MS Word, Excel (advanced user of Pivot Tables and VLOOKUP), and PowerPoint
